Position Summary

Under the direction of the Food Bank Manager, the Food Bank Coordinator oversees the operation of the Flamborough Food Bank (FFB), which provides food to community members. Duties include overseeing food inventory, ensuring volunteer teams follow processes and procedures, providing support to volunteers, interacting with community partners, maintaining the food bank facilities, reporting on inventory and visit statistics, and assisting with fundraising initiatives.

Hours/schedule

Average of 40 hours a week.

Standard office hours are Monday – Friday from 8:30 am – 4:30 pm, however evening and/or weekend shifts will be required for this role, with advance notice.

Essential duties and responsibilities

Food Bank Operations

  • Must have a recent Police Check. This will be required of the successful candidate.  It is NOT required at time of application. 
  • Count food inventory at the food bank and the Carlisle Memorial Hall.
  • Oversee the moving of inventory between the food bank and the Carlisle Memorial Hall.
  • Stock ‘A’ & ‘B’ boxes, kid’s snacks, miscellaneous shelf, and the overstock shelf.
  • Unload the FFB van containing perishables and non-perishables from Hamilton Food Share and community or partner donated products.
  • Support on site donations, meeting community donors at the food bank to receive their donations.
  • Pick up donations using the food bank van.
  • Fill the food bank van with gas and book maintenance with mechanic.
  • Direct backup to the food bank manager and must be trained in client intake process.

Facility Management

  • Maintain the cleanliness of the food bank facilities. Weekly cleaning of the food bank floors and fridges, freezers, and equipment.
  • Break down boxes and prepare for weekly recycling collection.
  • Complete small items repairs and maintenance.
  • Put out the weekly garbage for city collection.
  • Purchase team supplies.

Food Bank Documentation & Training

  • Create signs and post in the food bank for process and procedure awareness.
  • Support volunteer questions regarding food bank processes and procedures.

Volunteer Management

  • In the absence of the volunteer coordinator, schedule monthly and weekly volunteer shifts and communicate via email.
  • Provide direct supervision and be available to volunteers both in person and via email for support and questions.
  • Act as the backup to any of the food bank positions in the absence of volunteers.

Community Engagement & Strategic Partnerships

  • Be an example that the food bank is always a welcoming and non-judgemental space for all people. Fostering a non-judgemental culture for volunteers.
  • Ensure timely pickup of donated products at community supporters and partners.
  • Deliver donated products to one of the food bank facilities.

Risk Mitigation

  • Support the implementation of the managers risk mitigation strategies.

Program Development and Growth

  • Support the food bank manager in the implementation of new food bank programs.

General Duties

  • Act as the primary backup to the food bank manager.
  • Perform other related errands and duties as required.

Minimum qualifications and experience

  • 1 year of work experience in food banking, food access, poverty reduction or a closely related field.
  • An educational background in social services, food systems, sociology or a related field of study is an asset.
  • Proven initiative, critical-thinking, decision-making and problem-solving capabilities.
  • Strong time management skills.
  • Solid communication and interpersonal skills, especially verbal and written skills.
  • A valid driver’s licence.
  • Safe food handling knowledge is an asset.
  • General proficiency with technology, including the Microsoft 365 suite.
  • Familiarity with Flamborough township area, and/or rural communities is an asset.
